Policy Development Roles

Executive Policy Review Group (EPRG)

Who: Senior Vice President and Chief Operating Officer, Senior Vice President and Provost, General Counsel, Vice President of Enterprise Risk Services

  • Approves policy proposals (ideas) for development
  • Appoints Responsible Executive and Responsible Office
  • Provides input regarding participants for key stakeholders during policy development
  • Approves final policy (and any interim policy when necessary)
  • Approves substantial revisions for existing policies

Responsible Executive

Who: Senior Vice Presidents within the President's Cabinet

  • Supports the Responsible Office as the policy owner
  • Assists the Responsible Office by identifying key stakeholders during drafting of policy
  • Reviews and provides feedback to Responsible Office about policy content
  • Accompanies the Policy Office during presentations to the EPRG for a new policy draft and/or for any substantial revisions to an existing policy
  • Provides periodic reviews of policy for revisions

Responsible Office

Who: Generally a Department, Unit or School under the leadership of Vice Presidents, Deans or Executive Directors

  • Policy owner
  • Drafts policy content and collaborates with stakeholders
  • Accompanies the Policy Office during presentations to the PAG for a new policy draft and/or for any substantial revisions to an existing policy
  • Educates and trains on approved policy
  • Provides periodic reviews of policy for revisions

University Policy Office Role (currently filled by staffing within Enterprise Risk Services and Information Technology)

  • Oversees new administrative policy initiative implementation
  • Provides assistance to Responsible Office during policy development
  • Develops tools and resources for university community
  • Presents new policies and substantial revisions of existing policies to the PAG
  • Maintains policy library
  • Monitors policy review schedule
  • Keeps EPRG informed of policy progress

Policy Advisory Group (PAG)

Who: University Administrators as appointed by COO (may include an ad hoc member with expertise for subject matter expert when developing content)

  • Reviews full drafts of policy documents
  • Recommends edits to draft
  • Reviews revisions to new draft policies and existing policies
  • Submits policy drafts with recommendations to EPRG
